Create & Send Messages

Send robocall, email, text messages & push notifications

Using the Messages tab you can view, create, send, and track messages. You can also create news topics and recipient groups, and access your inbox and outbox for messages.

You can create and customize messages to send to recipients by phone, email, text, and the app. Depending on who you are trying to reach and what your message is, you can select different types of delivery methods.

Create a Message


Senders cannot cancel a message during its delivery.  A message can be canceled up to 5 minutes before the delivery is set to begin.

  • Click the Messages button on the main menu.
  • Click Send from the secondary menu.
  • Type the Subject for the topic of the message.
  • Add Recipients, change the start time, or adjust many other options by using the menu to the left of the message area.
    • View previously Saved Messages to resend common topic messages, such as weather-related closures. Select the copy feature to re-use a saved message.
  • Select one or more delivery methods from the main send message page to send to the recipients:
    • Template option – Create a template message to be used on all of the delivery types and modified later in each one to customize them. Type the body of the message here. You can also add images for the template option. Not all message types will post images.
    • Phone messages – If you created a template message, the content will be added here for phone calls. You can update the text and select how to make the recording – Call me to record, Call in to record, Upload audio file, or Text to speech. To remove the phone call option, close out the tab from the upper right hand corner.  Please note:  it is a best practice and our district recommendation to have a human translate messages to our families.  Text-to-speech and auto-translation of email messages are not always accurate.
    • Emails – If you created a template message, the content will be added here for emails. You can update the text and add any images. To remove the email option, close out the tab from the upper right hand corner.
    • Text/SMS – If you created a template message, the content will be added here for text/SMS messages, but you may need to edit the content to be less than 160 characters. To remove the text/SMS option, close out the tab from the upper right hand corner. Please note:  text messages are strictly governed by FCC regulations.  Please read through the requirements outlined on the Text Message page.
    • Mobile App Notifications – If you created a template message, the content will be added here for the app notifications. You can update the text and add any images. You can also mark the notification to appear only to known recipients and not to the general public of your mobile app.* To remove the app notification option, close out the tab from the upper right hand corner.  (* 7/16 - Currently, mobile app notifications are public to all followers.)
  • Include language translations by selecting Add Language, and select each language needed.
    • You can remove any language with the Delete icon.
    • Amheric language will not include translation or text-to-speech capabilities. Some Android devices and iOS do NOT support Amheric, and the message may not look correct on those devices. However, it is expected that those users requiring Amheric language will use phones that support the display.
  • Set the message as an Emergency if needing to send out immediately.
    • You can set the message to be sent immediately with the proper language translations.
  • Click Send when ready to send the message.

Send newsletters

Creating and sending newsletters can be a great way to send out several announcements, updates, and calendar events, all at once in a neat and organized way. The Newsletter feature is built in to the email messaging interface, and there are several templates already loaded for use. If you have your own templates, or would like to create a custom newsletter, the interface also includes an HTML source-editing tool.

Use a Newsletter Template

  • Click the Messages button on the main menu, and then click Send from the secondary menu.
  • Click the Email icon as the message type.
  • Click on the Insert Email Template to add an email template.
  • Select a template, and click Use.
  • Update the newsletter:
    • Click <<More from the menu for additional options, such as inserting a link, inserting a picture/image, and changing the text/image alignment.
    • To add an image, click Insert/Edit Image. Select an image to upload, and then click Update.
    • For more advanced editing capabilities, such as changing the color scheme of the newsletter, edit the HTML code of the newsletter template. Click the Edit HTML Code icon.
    • It is strongly suggested not to make any changes in this window unless familiar and comfortable with reading/editing HTML code.
  • After making the changes, click the Update button to save the changes.
  • Complete the rest of the message:
    • Type the Subject for the topic of the message.
    • Add Recipients, change the start time, or adjust many other options by using the menu to the left of the message area.
    • Include language translations by selecting Add Language, and select each language needed.

  • Click Send when ready to send the message.

Track Messages

Contact Report

Use the Contact Report to see specific people that were contacted, how they were contacted, who the message was regarding, and who sent the message. This report will populate the message information an hour after the message expired.

  • Select Reports > Contact Report.
  • Set your report criteria:
    • Select the School to track a specific school's messages. You must select a specific school.
    • Select the specific Date Range to track the messages sent during a specific time frame up to 30 days.
    • Select the specific Message Category to track, such as Grades or Cafeteria Balance.
    • Select the type of delivery Status of the message to track, such as Delivered - Confirmed and Not delivered - SMS number rejected.
    • Type a specific Phone Number/Email to track a recipient.
    • Select how many results to Display per page, and which information to Sort By.
  • Click Generate Report.
    • The report will display the recipient name, the reason for the message, student identification and grade level, message status, date and time of the delivery, how the message was sent, a link to view or hear the message, and the name of the sender.
  • You can select a message and resend from this report.

Message Trends Report

Use the Message Trends report to graph the amount of messages being sent during a specific date range to view the message trends.
 

  • Select Reports > Message Trends.
  • Set your report criteria:
    • Select the School to track a specific school's messages.
    • Select the specific Message Category to track, such as Grades or Cafeteria Balance.
    • Select the specific time frame of messages to track by select a Start Month, an End Month, and the number of years to Compare.
    • Select any additional Options to include — Show Individual Schools and Group Results by Students.
  • Click Generate Report.
  • The report will display the graph comparison of message trends for the specific time frame.

Excused Absences Report

Use the Excused Absences report to see the excused absences, the date of the absence, date of the excuse, and the phone number called regarding the absence.

  • Select Reports > Excused Absences.
  • Set your report criteria:
    • Select the School to track a specific school's absences.
    • Select the specific Date Range to track the absences during a specific time frame.
    • Select which information to Sort By when displaying results, and how many results to Displayper page.
  • Click Generate Report
  • The report will display the message recipient, the reason for the message, the school name, the date of the absence, the excuse for the absence, the date and time the absence what reported, and how the absence was sent.

Message Utilization Report

Use the Message Utilization report to see the breakdown of messages by category. This report provides you with a better understanding of the types of messages being sent from the school and school district.
 

  • Select Reports > Message Utilization.
  • Set your report criteria:
    • Select the School to track a specific school's messages.
    • Select the specific Message Category to track, such as Grades or Cafeteria Balance.
    • Select the specific Date Range to track the messages during a specific time frame.
    • Select how you want to Arrange the numeric data — Arrange exportable data by school, Arrange exportable data by message type, or No exportable data.
    • To view the charts for individual schools, from the Include Charts area select Include charts for all sub-organizations.
  • Click Generate Report.
    • The report will display the chart based on the types of messages that have been sent during the time frame. The report will also displays the breakdown of message types by school, number of messages, and contacts with those message types.

Teacher Messaging Report

Use the Teacher Messaging report to see a breakdown of messages sent by teachers. The report displays the breakdowns of message categories and whether or not the messages were positive, negative, or neutral.

For district administrators, this report will allow you to drill down into the school details. For all administrators, the school report will allow you to drill down into the individual teacher details.
 

  • Select Reports > Teacher Messaging.
  • Set your report criteria:
    • Select the School to track a specific school's messages.
    • Select the specific Message Category to track, such as Grades or Cafeteria Balance.
    • Select the specific Date Range to track the messages during a specific time frame.
  • Click Generate Report.
    • The report will display the pie charts of the messages sent by the teachers in the different message categories. The messaging details will include the school, total message, total students, total teachers, and percentages of messages per student and messages be teacher. 
  • To view the school chart, click the name of the School.
  • To view a specific teacher's chart, click the name of the Teacher.
